Oral Presenters & Moderators Guidelines

WHAT TO PREPARE?

  • Register for the meeting for in-person attendance*
  • Complete a Conflict of Interest Disclosure Form**
  • Complete a Publication Consent Form**
  • Submit a biography and a photograph (headshot) for the meeting portal**
  • Prepare a PowerPoint presentation following the guidelines below***
  • Present your talk onsite at your designated session time as per your initial speaker invitation***
  • If you are using a PowerPoint presentation (or any other PC-based application), please note that you have to deliver it on a USB Memory stick to one of the technicians in the Speakers’ Ready Room (Room 330) as soon as you arrive at the Venue in the morning – and at least 2 hours before the start of the session.

*If you will not be able to travel to Singapore, please contact us at WSC_abstracts@kenes.com as soon as possible.

  • Please familiarize yourself with the program, session and speakers.  You can view the interactive program here
  • Please prepare some backup questions
  • You should introduce yourselves by name and affiliation.
  • Announce the title of the session.
  • Ask people to set their mobile devices to silent and request that they do not take photos of the presentation slides or record the session
  • Please follow the schedule closely – It is essential to adhere to the scheduled start and end times of each presentation. This is to ensure equal presentation time to all speakers and Q&A.
  • Please announce a two-minute warning so that a speaker can time the end of their presentation and not overrun.
  • If you are a co-chair in a Debate session:
    – Please, make sure you are familiar with the topics order in your session and allocated time and structure.
    – Please, make sure you ask the audience to vote via the mobile APP after each topic conclusions.

***Please check the interactive program regularly for updates. You can find all sessions you are involved with via the search function HERE. Simply look up your surname and all sessions that you moderate or speak in will appear. 

ASK THE SPEAKER

Sessions in Halls 406, Summit 1 and Summit 2 have a Q&A component, through the congress App, called “Ask the Speaker.”  Indicated by the following icon.     

To access the “Ask the Speaker” feature use the following steps:

  • Navigate to the session via the congress app.
  • Click on the session title and go to “Q&A.”
  • Type your question and click on the green arrow.
  • All questions submitted through the app will be received by the session chair, on an iPad.  The questions will not appear in the app.
  • Delegates have the option to “up vote” questions, and they will appear at the top of the list in the iPad.
  • A technician will be in each hall to assist with any questions prior to the start of the session.

 

Q&A:

  • For delegates attending onsite, questions can be asked live during the session and through the Congress App, using the “Ask the Speaker” feature;  halls 406, Summit 1 and Summit 2 only.
  • For delegates attending virtually, questions can be asked through the Congress App during sessions which are being lived streamed; halls 406, Summit 1 and Summit 2 only.
  • For all sessions, questions can be directed to speakers directly by finding the speaker’s name in the virtual online platform and initiating a chat.

POWERPOINT PRESENTATION GUIDELINES

PRESENTATION SLIDES

In compliance with CME/CPD requirements all speakers and oral presenters have to complete a conflict of interest form. Please include the title slide with your name and title of your lecture at the start of your presentation, followed by a second slide disclosing any Conflict of Interest. You can simply list the conflicts on our second slide or write “Nothing to Disclose”. Note: You need to address the disclosure at the beginning of your presentation for at least 30 seconds to allow enough time for the audience to review and digest the information.

DATA PRESENTATION

If you are using a PowerPoint presentation (or any other PC-based application), please note that you have to deliver it on a USB Memory stick to one of the technicians in the Speakers’ Ready Room (Room 330) as soon as you arrive at the Venue in the morning – and at least 2 hours before the start of the session.

Please note that only conference computers are used in the session halls. These are supplied with Office 2019 (at least) and the native ratio of the projection on the screens in the halls is 16:9. The Conference will not be able to support lecture slides presented on personal computers.

If you include video clips in your PowerPoint presentation, be sure to test it with the technician in the Speakers’ Ready Room (Room 330), at least 2 hours before the start of the session or as soon as you arrive at the venue in the morning. Please make sure to check it with the technician in the session hall where your lecture is taking place, during a coffee or lunch break prior to your session, at least 30 minutes before the start of the session – even after checking it in the Speakers’ Ready Room (Room 330).

IMPORTANT NOTE FOR MACINTOSH USERS

To use MAC presentations on the PC compatible conference computer, please note that you need to prepare it according to the instructions below, before taking it to the speaker room:

  1. Convert it to PowerPoint or PDF.
  2. Use a common font, such as Arial, Times New Roman, Verdana etc. (Special characters might be changed to a default font on a PowerPoint-based PC).
  3. Insert the images as JPG files (and not TIF, PNG or PICT – these images will not be visible on a PowerPoint based PC).

All Oral Presenters must check in with their presentation on a USB Memory stick with the technician at the Speakers’ Ready Room (Room 330). Please make sure that your PowerPoint presentation is in Widescreen (16:9). Click here for instructions.
